01 — THE SITUATION

What was not working, before us.

An internal review found staff pasting excerpts of client files into public AI services, from their browser, without a corporate account. Management could neither measure it nor block it without breaking a habit that had become daily.

Blocking the domains would have pushed the problem onto personal phones. Buying enterprise licences would have put the same documents with the same vendor, plus a contract.

02 — THE DECISION

What was chosen, and why.

The machine sits in the existing technical room, on the firm's network. Files stay on the firm's SharePoint; the machine reads them with the Microsoft 365 rights already in place, without copying them elsewhere.

Public usage is not banned by memo: it becomes pointless, because the internal tool answers on the firm's own documents, which the public service cannot do.
